How to Set Up AI-Powered Document Onboarding in 30 Minutes

Employee onboarding is broken. Not because companies don't try — they do. They create wikis, write guides, record videos. The problem is there's no way to know if any of it was understood.

This tutorial walks you through setting up a complete, measurable onboarding system using DocuThink in under 30 minutes.

What You'll Need

  • A DocuThink account (free during beta)
  • Your existing onboarding documents (PDF, Google Doc, or Word)
  • 30 minutes

Step 1: Import Your Onboarding Documents (5 min)

From Google Drive

1. Go to Workspaces → New Workspace

2. Name it "Onboarding — [Role]" (e.g., "Onboarding — Engineering")

3. Click Import from Google Drive

4. Select your documents

5. DocuThink processes them automatically

From Your Computer

1. Drag and drop PDFs or Word documents directly into the workspace

2. Processing takes 30-60 seconds per document

Pro tip: Create separate workspaces for different roles. An engineering onboarding shouldn't include the sales playbook.

Step 2: Review and Organize (10 min)

Once imported, DocuThink shows you a preview of each document. This is the moment to:

Set Reading Order

Drag documents into the order new hires should read them. Most teams use:

1. Company culture & values

2. Team structure & communication norms

3. Role-specific technical docs

4. Tools and access guides

5. Process documentation

Add Context Notes

For each document, you can add a manager note that appears before the document:

"This is our core engineering philosophy doc. Pay particular attention to the section on code review — we take it seriously and you'll be in your first review within week 2."

These notes are shown to the new hire before they start reading, giving crucial context.

Step 3: Enable Comprehension Tests (5 min)

This is where DocuThink becomes genuinely different from just sharing a folder.

1. Open any document

2. Click Settings → Comprehension Test

3. Toggle AI-Generated Test: On

4. Set passing score (we recommend 70% for informational docs, 85% for compliance/process docs)

5. Choose: test appears immediately after reading, or 24 hours later (better for retention)

DocuThink's AI reads your document and generates relevant questions automatically. You can review and edit them before activating.

Example questions generated from a typical engineering onboarding doc:

  • "What is the maximum PR size according to our code review policy?"
  • "Which tool do we use for incident management?"
  • "What is the on-call rotation schedule for the backend team?"

Step 4: Invite Your New Hire (2 min)

1. Go to Workspace Members → Invite

2. Enter their email

3. Set their role as Reader

4. Select their start date (documents unlock on that date)

They receive a clean, welcoming email with access to their onboarding workspace. No apps to download. Works in any browser.

Step 5: Monitor Progress in Real Time (ongoing)

Your manager dashboard shows:

  • Reading status for each document (Read / Skimmed / Unread)
  • Time spent on each section
  • Comprehension scores for each test
  • Questions asked to the AI (tells you what confused them)

On day 3, if you see your new hire skimmed the security policy and scored 45% on the comprehension test — you know to have a conversation before day 5.

Results You Can Expect

Teams using structured document onboarding with comprehension tracking report:

  • 40% reduction in "I didn't know that" errors in the first 90 days
  • 2x faster time-to-productivity for new hires
  • Significant reduction in manager time spent re-explaining documented processes

The 30-Minute Breakdown

| Task | Time |

|---|---|

| Import documents | 5 min |

| Organize and add notes | 10 min |

| Set up comprehension tests | 5 min |

| Invite new hire | 2 min |

| Review dashboard setup | 8 min |

| Total | 30 min |
